Auction
Timing:
early March
Purpose:
Mercy High School raises funds to support the school by holding an Auction each
year. This event is the primary area of support provided by the Moms and Dads
Clubs. This effort helps to "Zap the Gap" between the tuition and the cost of the
educating Mercy High School students. Mercy Moms and Dads assist with this
effort and it is the biggest fundraiser for the school. Baskets each with a theme
are assembled and/or donated by various organizations and people. Bids are
taken for each of the baskets. There is also a raffle.
Coordinator: Multiple coordinators are required for this event. Moms Club committees are:
Theme Baskets Committee, Acquisitions Committee, Advertising Committee, Bid
Monitor Committee, Catalog Committee, Decorations Committee, Display
Committee, Setup/Cleanup Committee. A few volunteers are also needed to
coordinate the student volunteers the night of the auction. The coordinator for
each committee takes the lead to ensure that all the tasks are completed before or
during the event, see the activities listed below under each committee.

Volunteer activities:
Theme Baskets Committee
· Package and label all theme baskets.
Acquisitions Committee
· Review all correspondence and forms with the Special Events Director and make changes as
required.
· Assist Special Events Director in coordinating mailings to potential contributors.
· Lead the acquisition committee in acquiring all the silent auction items and live auction
items.
· Work with the Special Events Director in planning and execution of the major item raffle
starting in September and concluding the evening of the Auction.
· Interface with Catalog Committee Chairperson to ensure that all items and documentation are
submitted correctly.
· Give status report at General Meetings.
· Maintain information flow with Catalog Committee Chairperson.
· Contact all volunteers interested in working on committee
Advertising Committee
· Review all correspondence and forms with the Special Events Director and make changes as
required.
· Assist Special Events Director in coordinating mailings to potential advertisers.
· Interface with the Special Events Director to ensure all Ads are submitted correctly
· Send emails to local businesses to obtain advertising
· Give status report at General Meetings
· Contact all volunteers interested in working on committee
Bid Monitor Committee
· Conduct Bid Monitor meeting one week prior to auction week
· Monitor all silent auction tables throughout the evening
· Close out silent auction tables in accordance with evening schedule or MC direction
Catalog Committee
· Coordinate all incoming gifts with appropriate working committees (Acquisitions, Theme
Baskets)
· Work with Acquisitions and designate cochairs to establish starting bids on items
· Work with Chairs, cochairs, and Acquisition Committee Chairperson to identify live auction
and billboard items
· Work with Display Committee to ensure high value items are available for display
· Enter all items into computer program to meet February catalog printing deadline set up by
the Special Events office
· Give status report at General Meetings
· Contact all volunteers interested in working on committee
Decorations Committee
· Construct, gather and solicit all decorations in accordance with the auction theme including
billboards.
· Communicate theme and decorating plans to Display and Theme Basket Committee.
· Set up all decorations starting the Thursday prior to auction
· Direct Setup volunteers to assist committee members
· Give status report at General Meetings
· Contact all volunteers interested in working on committee
Display Committee
· Set up all items for display and corresponding bid sheet son various theme tables
· Coordinate decoration of display tables with auction theme and Decorating Committee
· Ensure high value items are also display. Coordinate with Catalogue Committee to ensure
these items are available.
· Coordinate with Catalogue Committee
· Check/double check ALL items against the catalog lists when setting up. Ensure items have
correct bid sheets
· Give status report at General Meetings
· Contact all volunteers interested in working on committee
Set up/Clean up Committee
· Coordinate with committee chairs the volunteers needed to assist with table, chair, stage,
decorations, and display set up starting the Thursday before the auction
· Coordinate the volunteers needed to clean up the Sunday after the auction
· Give status report at General Meetings
· Contact all volunteers interested in working on committee
· Ensure signin sheets are available for student and parent sign in during set up and clean up
Volunteer Coordinator
· Organize and supervise student volunteers during the night of the auction
· Assign 2 student volunteers for each billboard and identify these volunteers to the Bid
Monitor Chairperson
· Give status report at General Meetings
