HOURS: Monday through Friday

8:45 A.M. - 5:30 P.M.

FUNCTIONS: The incumbent serves as an Administrative Support Assistant (office automation) and
provides administrative support to the Chief Librarian, Executive Officer, and other senior management
staff in carrying out the day-to-day operations of the Chief Librarians Office. The incumbent maintains
strict confidentiality in performance of all matters related to the work of this position; receives all
correspondence for the Office of Chief Librarian; establishes and maintains a correspondence tracking
system to ensure that deadlines are met; reviews outgoing correspondence for clarity, consistency,
completeness and compliance to organization policy; coordinates the preparation of the Chief Librarians
News communication disseminated to all DCPL staff on a monthly basis; greets all visitors to the Chief
Librarians Office and answers the telephones, screening all calls and routing them to the appropriate
staff; answering general procedural or administrative questions and referring the more difficult or complex
questions to the appropriate staff; controls the Chief Librarians calendar, scheduling meetings and
appointments without prior approval; attends meetings, as requested, and takes notes and arranges for
staff to follow through on actions or commitments from the meeting; arranges travel arrangements for the
Chief Librarian and makes arrangements for meeting sites, space, speakers etc. that support the activities
of the Chief Librarian or Executive Officer; as requested, queries databases and develops reports and
assembles statistics using the appropriate type of software, such as spreadsheets, PowerPoint, Access,
or other software; maintains and controls a wide variety of files including receipt, review of contents,
developing files, filing and file maintenance. Performs a number of office duties and responsibilities such
as serving as timekeeper, managing the government credit card process for the office, coordinating the
purchase of equipment and supplies and serving as a PASS Super User and Time And Attendance Super
User, etc. Performs other related duties as assigned.

QUALIFICATION REQUIREMENTS: Candidates must have one (1) year of specialized experience
equivalent to the next lower grade level. This experience must demonstrate that it equipped the applicant
with the particular knowledge, skills, and abilities to successfully perform the duties of the position.

KSA #1: Ability to work and communicate effectively with internal and external customers and high
level officials, including ability to communicate effectively at all levels orally and in
writing.

KSA #2: Knowledge of standard administrative work practices for maintaining files, preparing
correspondence, prioritizing work, meeting schedules and deadlines.
KSA #3: Knowledge of grammar, spelling, punctuation and required formats sufficient for composing
and reviewing correspondence and consolidating reports.

KSA #4:
Expert skill in operating a personal computer and various word processing and software
packages, specifically Microsoft office applications, internet searching and email.

A written exercise may be administered at the time of the interview and may be used
for advisory purposes only to the selecting official.
